Option 1: (Recommended for Compliance): Make User Inactive (Keeps auditing trail for agent & retains user contracts, licenses, E&O and other details, while locking the agent out of the system)
Option 2: Delete User (Removes the agent name from the auditing trail of the date and time stamp of their notes and update history. User data, contracts, E&O, licenses are permanently deleted)
Instructions:
Option 1: Set the user as inactive, which keeps their record history and profile set up for reference. The cost per inactive user is $10/month. You can reassign their leads/clients and the inactive status automatically locks them out from access.
Reassign their leads/clients to a different user (screenshots below). Go to the Leads page, filter by the Agent Name you’ll be deleting, Select All and Bulk Update to change the other user name (or select Unassigned). Submit the change. Repeat on the Client page.
You can then downgrade the number of active users by going to Account> Upgrade Account. Choose the right new plan or contact us at Billing@radiusbob.com.
Option 2: Delete the user. We do not recommend deleting a user profile, as this will remove the agent name from the auditing trail of the date and time stamp of their notes and update history. Follow the Reassign leads/clients instructions above. We also recommend adding a note of "Previous client of Agent X" since the user's name will be removed from the assigned agent list.
Now go to the Account> Manage Users> Click Options. If you do want to delete them instead of making them inactive, and DELETE isn't an option, edit the user, change them to an Agent and Submit the change. Go back to Account> Manager Users and you’ll see Delete in the Options List. (Note. Do not use the "Back Arrow" to go from the user changes to previous page, as it may show you the old screen without the delete option.)
You can then downgrade the number of seats. Go to Account> Upgrade Account. Choose the right new plan or contact us at Billing@radiusbob.com.
